Office Manager (Legal Office)

**MEMBERS ONLY**SIGN UP NOW***.  |  Paoli, PA  |  Full-Time, In-Office

Keep a respected estate and elder law firm running smoothly, in a role where your organization and follow-through are felt every day.

About the Firm

For more than three decades, **MEMBERS ONLY**SIGN UP NOW***. has helped families and business owners protect what matters most through thoughtful estate, elder, and business law solutions. Led by founder Jim Ruggiero and a dedicated team, the firm pairs legal experience with practical insight to serve clients with integrity and care.

About the Role

We are looking for an Office Manager to keep the day-to-day business side of the firm running smoothly. Working closely with the Managing Partner, you will help the team stay organized, accountable, and focused so the attorneys can concentrate on their clients. This is a hands-on role for someone who enjoys bringing structure to a busy office and takes pride in being the person others rely on to keep things moving.

Responsibilities

  • Oversee daily office operations, workflows, and internal systems, and look for practical ways to improve them

  • Manage and support staff: assign and track work, follow up on deadlines, and keep the team aligned and accountable

  • Lead onboarding for new hires, including first-day setup, training schedules, system access, and policy review

  • Maintain office procedures, checklists, employee files, and internal HR documentation

  • Support firm technology, including Clio, by helping the team use systems consistently

  • Coordinate office needs, facilities, supplies, and administrative logistics

  • Coordinate with the bookkeeper and CPA to support accurate financial tracking and reporting

  • Support a smooth client experience by helping intake, follow-up, and handoffs run well, while attorneys handle all legal advice

  • Keep leadership informed of operational updates, staffing needs, and workflow issues

Requirements

  • 3 to 5 years of office management experience in a law firm, with a strong understanding of law firm terminology and workflow

  • Experience managing staff, monitoring workflow, and supporting accountability

  • Strong organizational, communication, and problem-solving skills

  • Able to manage multiple priorities and follow through consistently

  • Professional judgment and discretion when handling confidential information

  • Comfortable working with attorneys, staff, clients, and outside professionals such as bookkeepers and CPAs

  • Familiarity with law firm systems such as Clio or MyCase is helpful

  • Bachelor’s degree preferred, but not required with strong relevant experience

Nice to Have (not required)

  • Experience supporting billing and collections, reviewing prebills, or monitoring work in progress and client balances

  • Familiarity with law firm trust accounting and IOLTA

Benefits

  • Salary: $80,000 to $100,000, based on directly related experience

  • 100% employee healthcare coverage

  • 401(k) through Principal with an automatic 3% employer contribution after one year of qualification

  • Paid time off

  • Paid national holidays

How to Apply

Please submit your resume for confidential consideration. A cover letter is not required with your initial application. If selected for an interview, the firm will request a brief cover letter so you can share more about your interest in the role and how your experience fits.

We will contact candidates who best meet the criteria for the position. All applications will be handled with discretion.

What I liked about the service is that it had such a comprehensive collection of jobs! I was using a number of sites previously and this took up so much time, but in joining EmploymentCrossing, I was able to stop going from site to site and was able to find everything I needed on EmploymentCrossing.
