Purpose of the Position:
Administration of Bid Flow
Duties and Responsibilities:
Procure Bid Documents from Owner or Architect
Work with estimators to compile a complete list of sub-contractors, material suppliers, and specialty items and send invitation to bid
Make sure all sub-contractors and material suppliers have the proper plans, specification, and addendums necessary to receive comprehensive proposals
Maintain proper logs of the distribution of plans, specifications, and addendums
Compile a list of sub-contractors and material suppliers which will be bidding the project but have obtain plans from other contractors
Fill out the bid profile sheet before and after bid
Maintain the Bid History Log up to date
Prepare bid sheet, proposal, scope of work, clarifications, qualifications, and exclusions
Maintain a list of current material prices
Maintain sub-contractors bid list
Compile and supply the scope of work and bid form breakdown to all sub-contractors
Maintain a bid RFI log
Procure material prices for estimate
Attend pre-construction meetings; take accurate and copious notes and follow-up on all required tasks or requests in writing
Coordinate walk-throughs with client and sub-contractors if necessary
Visit jobsite prior to bid if necessary
Compile a list of changes between Bid Documents and Construction Documents
Provide proper information and documents to Project Manager and Superintendent
Assist Project Manager with RFI's and Change Orders
Supply Project Manager and Superintendent quantities of materials required for the project
Other Duties as Assigned
Results Expected:
Consistent flow of relevant information between Estimators, Project Manager, Project Superintendents, Subcontractors, Material Suppliers and Design Professionals
Controlled and well maintained Project Records that ensure maximized production efficiency
Professional and courteous relationship with Design Professionals, Project Superintendent, Subcontractors, Vendors, Office Staff and the Client
Minimum Qualifications:
Candidate must communicate clearly, concisely and professionally in verbal and in written form
Must be neat and have organizational skills
Exemplary work ethic proven talent for supporting top level management
Ability to implement new procedures in order to streamline daily business
Proficient in computer skills
Exceptional Customer Service
Bilingual English and Spanish speaking
